Salary advance record: how to track staff advances without arguments
Why salary advances cause fights
out arguments, write every advance down on the same day, get the staff member to confirm it, and agree before you pay how it will be cut from salary. Here is a simple method any shop can follow, with a register format and a worked example.
5 rules before you give any advance
- Write it the same day. Date, name, amount and reason. Not tomorrow, not at month-end.
- Get it confirmed. A signature in the register, or a short WhatsApp message from the staff member: “Took ₹3,000 advance on 10 Oct.”
- Agree how it will be returned. One cut next month, or ₹1,000 a month for three months. Decide before you pay.
- Set a simple limit. For example, no more than the salary already earned this month. This keeps advances small and easy to recover.
- One advance at a time. Clear the old balance before giving a new one, unless it is an emergency.
Staff advance register format
Keep one register (or one page in your book) only for advances. Use these columns:
Date | Staff name | Amount | Reason | Paid by | Repay plan | Signature | Balance left |
|---|---|---|---|---|---|---|---|
10 Oct | Suresh | ₹3,000 | Family function | Cash | ₹1,000 × 3 months | ✔ | ₹3,000 |
31 Oct | Suresh | Cut ₹1,000 | October salary | — | — | ✔ | ₹2,000 |
18 Oct | Meena | ₹1,500 | School fees | UPI | One cut in October | ✔ | ₹1,500 |
31 Oct | Meena | Cut ₹1,500 | October salary | — | — | ✔ | ₹0 |
The “Balance left” column is the most important one. Anyone can look at it and see what is still owed.
Worked example: cutting an advance from salary
Suresh earns ₹15,000 a month. On 10 October he took a ₹3,000 advance and agreed to repay ₹1,000 a month. In October (30 days) he was present for 28 days.
Step | Calculation | Result |
|---|---|---|
Per-day salary | ₹15,000 ÷ 30 | ₹500 |
Salary earned | ₹500 × 28 days | ₹14,000 |
Advance cut this month | As agreed | − ₹1,000 |
Paid in hand | ₹14,000 − ₹1,000 | ₹13,000 |
Suresh still owes ₹2,000, which will be cut in November and December. Not sure how to work out absent days? See our guide on calculating salary with absent days.
One cut or monthly instalments?
- Small advance (up to about one week’s salary): cut it in one go from the next salary.
- Bigger advance: split it into equal monthly cuts, so the staff member still takes home enough to live on.
Whatever you choose, say it clearly at the time of the advance, and do not change it later without asking.
Show the advance on the salary slip
Give each staff member a simple salary slip every month. It should show three lines: advance taken, amount cut this month, and balance left. When staff can see the numbers, they stop arguing about them.
Mistakes to avoid
- Giving cash from the drawer with no note.
- Cutting more than you agreed, just because the staff member had a good month.
- Mixing an advance with a loan. A large loan for a house or wedding should be written up separately.
- Forgetting the balance when someone leaves. Settle it from the final salary, and write it down with their signature.
Cutting an agreed advance from salary is normal practice, but the cut should match what you agreed. If you are unsure about the rules in your state, check with your accountant.
